Managing a portfolio of renewable energy projects across five countries means managing an enormous volume of technical documentation, permits, contracts, and regulatory filings with jurisdiction-specific requirements that must be handled in five different languages.
The Challenge
Every wind or solar project generates hundreds of documents: environmental permits, grid connection contracts, technical inspection reports, land lease agreements, construction approvals, and ongoing compliance filings. Multiply that by five countries, each with its own regulatory framework and language, and the document burden becomes a serious operational constraint.
VSB's project teams were spending a disproportionate share of their time on document review and compliance verification rather than developing and operating energy assets. Cross-referencing permits, contracts, and technical reports was painstaking manual work that exposed them to compliance risks in highly regulated energy markets. As the portfolio grew, the document workload was scaling faster than the team.
VSB needed a way to process documents across all five countries with consistent accuracy. Our Approach
Our consulting team conducted a document landscape analysis across all five country offices. We worked with VSB's project management, legal, and compliance teams in each market to map the full document taxonomy. This included document types, their relationships, and jurisdiction-specific validation rules.
This cross-country analysis revealed significant opportunities for automation that no single country office could have identified alone. We found common document structures across jurisdictions that could be handled by shared extraction models, as well as country-specific compliance rules that required tailored validation logic.
We designed a multi-language extraction and validation pipeline, then tested it against real project documentation from all five countries. The proof of value focused specifically on the cross-document validation scenarios most critical for VSB's teams: linking permits to contracts to technical reports and flagging inconsistencies automatically.

- Automated compliance checking: Jurisdiction-specific validation rules ensure that each project's documentation meets the regulatory requirements of its country, flagging gaps or inconsistencies for the local compliance team
The system integrates into VSB's existing project management infrastructure, giving project teams across all five countries a single, consistent view of their documentation status and compliance position.
The Results
VSB's project teams can now focus on developing and operating renewable energy assets instead of spending days on document review.
